Team & Menu Visibility
Settings → Team is where the owner manages the people in the store: who has a login, who is an owner or a manager, their passwords, who is still active, the pay and job details that Team → Workforce and Sales → Schedule read, which menu items each person sees, and whether staff see cost and may change prices. The pane's heading reads Team Management. It is not the Team group in the sidebar (Workforce and My Hours), which is where hours and pay are run: see Workforce.
Overview
- Open it: Settings (the gear at the bottom of the sidebar) → Team, the last item in the rail. A direct link is
/settings?tab=team. The same editor also opens on a page of its own, Menu Visibility, from the Team Management button at the top of Sales → Schedule and Edit in Team Management on the Team tab of Team → Workforce. - Who gets in. Team opens for the store's owner (the Owner switch on), anyone with the owner role and the store's only active member. Everyone else sees "Redirecting..." and lands on Shortcuts. Being let in is not the same as being able to change everything: Create User, the password fields, Worker Details and Reset to Default Menu show only to the person whose Owner switch is on. Delete, the Active switch and the menu Visible switches are shown to everyone Team lets in, but saving any of them needs owner level — the Owner switch or the owner role. Only one kind of person is let in without that: the store's only active member. Everyone else in their store is already switched off, so all they can try is switching someone back on, deleting someone who is already off, or changing menu switches — and each of those is refused.
- What's on it:
- At the top, User License Usage: how many user seats you use and have.
- On the left, the Users list with Create User and a search box. Click a person to work on them.
- On the right, for that person: User Profile (name, email, phones, Default Location, password, Active, Owner, Role, Delete, Save), User Visibility Settings (their menu) and Worker Details (job title, pay rates, employee code, field worker, skills, service areas).
- Below them, Other permission rules for staff accounts: two switches for the whole store that decide whether staff see cost and whether they may change prices. See Rules for staff accounts.
- No invitations. You create each person's login yourself, with a password you choose, and hand them the details. UpChannels sends them nothing.
- What saves when: a Role change, each menu Visible switch and the two staff-rule switches save the moment you change them. Everything else in User Profile and Worker Details waits for Save (or Save Worker Details, which does exactly the same).
Add a team member
- Open Settings → Team and click Create User (next to Users). If License Limit Reached opens instead, every seat is taken: see User seats.
- Fill in First Name, Last Name, Email, Password and Confirm Password. The password needs at least 8 characters, the same minimum somebody choosing their own gets. The username fills itself in from the email.
- Optional: pick a Default Location (the store pre-selected on their new orders) and fill in Worker Information: job title, mobile phone, hourly rate, skills, service areas and Field Worker.
- Click Create. It stays greyed out until every starred field is filled in and both passwords match. The person is added as Staff and selected in the list, with "User created successfully." They start active unless you switched Active off in the dialog.
- Give them their email and password yourself. They sign in on the normal sign-in page and can use Forgot password? there later. See Sign in, sign up & password reset.
Good to know:
- Turn on Owner in the dialog and confirm Yes, Grant Owner Access to create a co-owner straight away. You can also do it afterwards (below).
- Overtime Rate and Employee code aren't in the dialog. Set them in Worker Details once the person exists.
- Create stays greyed until the email could be an email, so a typo is caught before you click. Anything the server refuses — an address that already has an UpChannels login somewhere else, for instance — appears in a red box inside the dialog, which stays open with everything you typed.
- After you reload the page, people added here are listed under their auto-generated username (for example "jsmit0123456789") instead of their name. Their name is still in First Name and Last Name.
Roles: owner, manager, staff
| Role | How to give it | What it means |
|---|---|---|
| Owner | Turn on Owner in User Profile (or in Create User), confirm Yes, Grant Owner Access, then click Save | Opens Settings (and sees the sidebar Settings button), manages Team, and gets every owner-only switch. Menu items can't be hidden for them. Can't be deleted |
| Manager | Role → Manager, then Make Manager in the confirmation. No Save needed | Approves hours in Workforce (what else they can do there is set on the Permissions card in Settings → Workforce) and, elsewhere in UpChannels, can delete orders and records. Can't open Settings, unless they are the store's only active person. Works on every plan |
| Staff | Everyone else. Role → Staff applies at once | Uses the app, minus any menu items you hide for them |
- A role change reaches Workforce straight away. Elsewhere it takes effect within an hour or at the person's next sign-in.
- Roles are changed only here, with the Role picker (and the role chosen in Create User). Nobody can write a role any other way, an owner included, so the picker's rules hold however a change is tried: nobody changes their own role or an owner's.
- You can't change your own role or an owner's. To make an owner a manager or staff, turn their Owner switch off, click Save, then pick the role. The person who created the store account normally keeps Owner in the Role picker even with the switch off.
- The store always keeps an owner. The Owner switch is greyed for the last one, with "This is the store's last owner. Make someone else an owner first" — make somebody else an owner and it unlocks. Turning off your own switch asks you to confirm first, because it costs you the sidebar Settings button and the owner-only Team controls; another owner has to turn it back on for you.
- In a store with more than one location, give a manager a Default Location first. Workforce limits a manager to the people and entries at their stores, and the confirmation warns you when they have none. Details: Workforce.
Edit, switch off or remove someone
- Edit: click the person, change the fields, click Save. Mobile and business phones must be 10 digits or blank. Changing Email changes the address they sign in with, straight away and with the same password, and the message names it. Tell them. The change is kept in the audit log with who made it and when.
- One Save, several changes: the profile saves first, then the password, Email, Owner and Active each go through their own check. One that is refused does not stop the others: the green message says what was done, the red one names each change that was not, with the reason, and the editor goes back to what is actually saved for those. Fix what the reason says and Save again.
- New password: type it in New Password and Confirm Password, then Save. It needs at least 8 characters. It works straight away and no email goes out, so tell the person. A new password set this way — by you or a manager — is kept in the audit log with who set it and when; the password itself is never recorded. So is the password you type in Create User to bring back somebody you had removed, since it replaces the one they left with. A brand-new person's first password in Create User is not recorded.
- Active off, then Save: the person's login is switched off. They are signed out on every device and can't sign in again until you switch Active back on and Save. They also drop out of Workforce's roster and the technician list on Schedule.
- Delete (red, bin icon) → Yes, Delete User: removes the person. Their login is switched off, they are signed out everywhere, they leave the list for good and their seat is freed. The Active switch can't bring them back — if you need them again, use Create User with the same email address and they come back as the form describes: the role you pick there, not the one they had before, nothing hidden for them, and every worker detail you leave blank — hourly rate, job title, mobile, skills, service areas, payroll code and which stores they can open — blank again, exactly as for a new person.
- You can't switch off or delete yourself. You can switch off another owner, including someone who is an owner only by role, like the person who created the store. Only the store's last active owner can't be switched off, and you are an owner yourself. To delete someone whose Owner switch is on, turn the switch off first.
A tab they already have open signs out the next time they open a page or come back to it (the app checks at most every 30 seconds), and within 5 minutes otherwise. Nothing that tab can still do reaches your records: from the moment you save, every read and every save made in that person's name comes back with nothing, however the request is made. Their sidebar empties in the same moment, and any page they open — from a link, a bookmark or a typed address — shows "403 - Forbidden" instead. A person you switched off keeps their seat; only removing them frees one. Their email stays theirs either way: typing it into Create User brings a removed person back rather than making a second login.
User seats
Everyone in the list uses a seat, people you have switched off included. Someone you removed with Delete does not: they leave the list and give their seat back.
- Each location on your main plan includes 2 users. Each Additional Users pack adds 5. Seats = locations × 2 + packs × 5.
- The User License Usage panel at the top shows "… of … users used", how many are available and the sum. It turns red, with an Upgrade Plan button, when you have more people than seats.
- During a free trial you get 2 users per location and can't buy packs until you subscribe. Stores you have switched off still count towards the allowance, the same way switched-off people still take a seat.
- Bringing a removed person back with Create User uses a seat like any new person, and is refused the same way when none is free.
- With no seat free, Create User opens License Limit Reached, and Go to Billing takes you straight to where you buy a pack or another location: Plan & Billing. During a free trial the same dialog reads Subscribe to add more people and the button reads See plans, because a trial's seats are fixed until you choose a plan. On a plan UpChannels set up for you it reads Ask UpChannels to add more people and points at support.
- The seat figures on this page are the store's own, worked out by UpChannels from your plan and your stores — the same ones Create is checked against, so the panel and the refusal always agree.
Worker details for Workforce and Schedule
The Worker Details card (owner only) holds what the rest of the app reads about a person. Workforce's Team tab shows these values but can't edit them.
| Field | What uses it |
|---|---|
| Default Location (in User Profile) | The store pre-selected on their new orders. In Workforce it is their home store, which decides which managers see them |
| Hourly Rate ($) | Their pay on Workforce pay runs and labour costs. Blank = no hourly rate (salaried or owner), never on a pay run |
| Overtime Rate ($) | Overtime pay. Blank = 1.5 × the hourly rate |
| Employee code (for payroll export) | Written into the pay run's CSV |
| Field Worker | Only active field workers can be given jobs on Sales → Schedule. Their published Workforce shifts become their availability there |
| Job Title, Skills, Service Areas | Kept on the person's profile |
Only an owner can change the Default Location, the pay rates and the employee code. How pay runs use them: Workforce.
Menu visibility for one person
The User Visibility Settings card lists the menu items, one tab per sidebar section, with a Visible switch per item for the selected person. A switch saves the moment you flip it.
What hiding an item does:
- It leaves that person's sidebar, along with its Guide & Tips icon when you hide a section's Guide & Tips. Any Shortcuts cards that open its pages go with it. Ten items have no card there — Routes, Walk-ins, Customer Portal, Complaints, Communications Hub, Reviews Booster, Loyalty Program, Bank Reconciliation, Transactions and Income Tax Prep — so for those only the sidebar row goes. Hiding Get Started or Profile Setup takes no card either: the Get Started and Onboarding Setup cards open a page that is always open, even though Profile Setup's own page is blocked. Hiding Quick Facts takes its card and also the Quick Facts panel at the top of Shortcuts, as well as blocking its page.
- Its page is blocked for them, and so is every page under it (an order's own page under List, Add Customer under Customers Nurturing) and every page that belongs to it without a menu item of its own: Transfer Inventory, Count Inventory and inventory search belong to Management; the purchase-order import, receiving and replenish pages, plus the old purchase-orders list and the old import address, to Procurement; the older procurement marketplace pages to Marketplace; the older product pages (the products list a product link opens and Add Product) to Products. A blocked page shows "403 - Forbidden" whether it's opened from a link in the app, a bookmark or a typed address.
- Snapshot covers only the Snapshot page, and Workforce only the Workforce page: the other Inventory pages and My Hours follow their own items.
- The change reaches the person the next time they move to another page: the app re-reads their menu then if its last answer is more than a minute old. Coming back to the browser tab checks sooner — there an answer more than 15 seconds old is re-read. They don't need to reload — but someone who stays on the same page, with the tab already in front of them, keeps the old menu until they move.
What it doesn't do:
- It never restricts owners (the Owner switch, or the owner role) or the store's only active member (people switched off or removed don't count). For someone whose Owner switch is on the switches are locked; anything hidden before they became an owner no longer applies.
- A few pages always open, whatever is hidden: Shortcuts, search results, the Settings front page, Plan & Billing, the tabbed Get Started page (opened from Shortcuts → Get Started) and every demo.
- It is a menu and page restriction, not a data permission: what a person can reach through pages you left visible doesn't change.
- It isn't a security lock. Typed addresses, bookmarks and reloads are checked by UpChannels' server, but moving between pages inside the app is checked in the person's browser, so someone who tampers with their browser can get past it. If the check can't run (for example a network problem), the page opens rather than locking them out.
- The list shows every item, including ones your plan or feature switches already hide (Routes, Walk-ins, Customer Portal, Workforce, My Hours).
Only owner level can change these switches — the Owner switch or the owner role. A team member can't switch their own hidden items back on. The switches are not greyed for someone Team let in as the store's only active member, so they can flip one for themselves or for a colleague who is switched off, but the change is refused and a technical message appears in the red box.
Reset to Default Menu (owner only) puts the store back on the standard menu and un-hides everything: every person's hidden items are cleared in one go, and the pages behind them open again. The message says how much went — "Menu reset to default. Hidden items cleared for 4 menu items across your team.", or "Nothing was hidden for anyone." It can't be undone; to hide things again, switch them off one by one.
Rules for staff accounts
The Other permission rules for staff accounts card, below the people cards, holds two switches for the whole store. They apply to the Staff role only: owners and managers always see cost and can change prices. Each switch saves the moment you flip it, and "Saved" confirms it. If a save is refused, the switch goes back and the reason shows under it.
Hide cost info from all staff accounts is on by default, in every store.
- Staff see Hidden where a cost figure would be: cost, margin, profit and stock value on orders, purchase orders, inventory, the catalog, reports, finance, exports and prints. Columns and cards that only show cost are left out, and Profit & Loss, Balance Sheet and Assets & Liabilities say "Cost information is hidden" instead of showing the report. Selling prices and MSRP stay visible.
- Staff can still open, read and receive purchase orders, but an owner or manager creates them.
- Switched off, staff see cost as they did before. Two things stay as they are: Price Tags never shows staff its Cost and Margin columns, and the Quick Facts profit tiles stay with owners and managers.
Allow staff to edit prices on price tags is off by default.
- Off, only owners and managers change selling prices. Staff can still print tags for anything that has a price.
- On, staff can change selling prices in Step 2 of Price Tags and in a product's window. It changes the product's price in your catalog, not only the printed tag. They still see no cost there, and they can undo only the batches they saved. Every change is logged with who made it.
Anyone Team opens for can flip these switches: the owner, anyone with the owner role and the store's only active member. In UpChannels support's read-only view they show but can't be changed. A staff member picks up a change on their next page change, or at once when they reload. A store's only active member is treated as its owner, so the rules never lock a one-person store out of its own costs and prices. Cost is hidden from staff on every screen, export and print, and UpChannels' database refuses it to their login as well.
Tips & best practices
- Give everyone their own login. Seats are per person, and shared logins make hours and approvals meaningless.
- In a store with several locations, set a person's Default Location before you make them a manager.
- Put hourly rates in before your first Workforce pay run. Anyone without one is left off the run.
- Flag the people who go out on jobs as Field Worker so Schedule can assign them.
- When someone leaves for good, use Delete: they are signed out everywhere at once and their seat is freed for the replacement. Switch Active off instead when they may be back — that keeps their seat and their place in the list. Both work for a co-owner.
- Make a second person an owner before you turn your own Owner switch off. Only they can turn it back on for you.
Troubleshooting
| Problem | Cause | Fix |
|---|---|---|
| Create User opens License Limit Reached (Subscribe to add more people during a free trial) | Every seat is used. People you switched off still count; people you removed don't. During a free trial the allowance is 2 people for every store you have, switched-off stores included | Buy an Additional Users pack or another location in Plan & Billing. During a trial, See plans and subscribe first |
| Create User opens Ask UpChannels to add more people | Your plan is one UpChannels set up for you, and its seats are all used | Contact UpChannels support: there is nothing to buy on the billing page for this kind of plan |
| Create stays greyed out | A starred field is empty, or the two passwords differ | Fill in every starred field and retype the passwords |
| Create is greyed although the fields look filled | The email is not a possible address yet, or the two passwords differ | Finish the email address and retype the passwords. The button un-greys by itself |
| A person shows as a string like "jsmit0123456789" | People added with Create User are listed under their auto-generated username after a reload | Their name is in First Name and Last Name. Nothing to fix |
| No Create User, password fields or Worker Details | These show only to the person whose Owner switch is on | Have an owner turn your Owner switch on |
| Role is greyed out | It's you, the person is an owner, or a change is saving | Another owner changes yours. For an owner, turn Owner off and Save first |
| Delete is greyed out | The person's Owner switch is on, or it's you | Turn Owner off and Save, then delete. Another owner deletes you |
| The Owner switch is greyed out | The person is the store's last owner | Make somebody else an owner first. The switch unlocks as soon as the store has another one |
| Active is greyed out | It's you ("You cannot switch off your own login") | Another owner can switch you off |
| "Only the organization owner can do this" after Yes, Delete User, or a technical database message in a red box after Save | Team let you in as the store's only active member, which is not owner level. Nothing was saved: the save is refused before it reaches the profile | Ask someone with the Owner switch or the owner role, or have them turn your Owner switch on |
| Someone I removed needs to come back | Delete is final: they are not in the list and can't be switched back on | Click Create User and use their old email address. They come back with the name, password, role and details you type — a manager you removed and add back as Staff comes back as Staff — with nothing hidden for them, with every box you leave blank blank (their old pay rate, payroll code and store access do not follow them), and they use a seat again |
| A switched-off person says they can't sign in | Their login is switched off: sign-in tells them "This login has been switched off. Ask your store owner to turn it back on." | Switch Active on and Save. They sign in with their usual password |
| Hourly Rate is greyed, "Pay rates could not be loaded" | The rate couldn't be read | Reload the page |
| A staff member still sees a hidden item | Their app picks the change up when they move to another page, or when they come back to the tab. Sitting on one page picks nothing up | Ask them to click to another page, or to switch away from the tab and back |
| A staff member can still open a hidden page | The page is one that always opens (Shortcuts, search, Plan & Billing, the tabbed Get Started page, demos), the person is an owner, or the store has only one active person (people switched off or removed in Team don't count) | Expected. Every other page of a hidden item is blocked |
| A staff member gets "403 - Forbidden" | You hid that menu item for them, or the item the page belongs to (for example Management for Transfer Inventory). If they get it on every page, their Active switch is off or you removed them | Turn its Visible switch back on. It clears within a minute of their next page change, or 15 seconds after they come back to the tab. For someone switched off, turn Active back on and click Save |
| Reset to Default Menu said the hidden items couldn't be cleared | The menu went back to standard, but the hidden-item choices were refused | Reload the page and run the reset again. Until it succeeds, the items stay hidden |
| A staff member sees Hidden instead of a cost, or "Cost information is hidden" instead of a report | Hide cost info from all staff accounts is on. It is on by default | Expected. Switch it off in Other permission rules for staff accounts if staff should see cost |
| A staff member can't create a purchase order, or is told "Only an owner or manager can change prices" | Cost is hidden from staff, so an owner or manager creates purchase orders; or Allow staff to edit prices on price tags is off | An owner or manager does it, or the owner changes the switch |

Every button, icon, field and message on this page, for when you need the exact detail. Each panel starts closed — open the one you need.
Page header and toolbar
| Control | Where | What it does | Notes |
|---|---|---|---|
| Team (people icon) | Settings rail, last item | Opens Team Management | Direct link /settings?tab=team. Clicking the rail writes the section into the address, so a refresh or a bookmark opens Team again |
| "Loading..." then "Redirecting..." | Whole pane | Checks that you may open Team. Anyone it does not let in goes to Shortcuts, signed-out people to sign-in | Team runs this check a second time inside Settings, so "Loading..." shows briefly |
| Heading Team Management, "Manage team members and their menu visibility settings" | Top of the pane | — | Not on the standalone Menu Visibility page |
| Card title Users Profile and Settings | Card header | — | — |
| User License Usage panel (info icon, or alert icon when over) | Top of the card | Shows "… of … users used", "… available", a bar, and the sum "(… locations × 2) + … packs × 5 users = … total" | Only once billing has loaded, and only when there is an allowance to show: a paid subscription, a running free trial, or a plan UpChannels set up for you. Blue normally, amber bar at 0 available, red when over. The packs part shows only when you have packs. Counts everyone in the list, switched-off people included but removed people not, and every store you have not deleted. Left out entirely if your plan could not be read |
| Over-limit text: "You have … more user(s) than your current plan allows. Please purchase an additional main plan or add … pack(s) of 5 users." | Inside the panel | Says how many packs of 5 would cover you | Only when you have more people than seats |
| Upgrade Plan (red) | Inside the panel, right | Opens the Billing & Subscription page | Only when over the limit |
| Red message box | Under the panel | Shows the last error from this card (checks, saves, deletes, menu switches, menu reset) | Stays until your next save, delete or Visible switch. The Create User dialog shows its own errors inside the dialog, not here |
| Green message box | Under the panel | Shows the last success, e.g. "User profile saved." | Stays until your next save, create or delete |
| "Loading..." (spinner) | Card body | Shown while people, locations and menus load | A load failure shows in the red box |
Section: Users list
| Control | Where | What it does | Notes |
|---|---|---|---|
| Users label | Left column, top | — | — |
| Create User (small button) | Right of Users | Opens Create User. Opens License Limit Reached instead when no seat is free | Owner switch only. Greyed out while your seat count is still loading, so it never says the limit is reached before UpChannels knows |
| Search box, placeholder "Search users..." | Under Users | Filters the list as you type, by name, username or email | Not case-sensitive |
| Person row: name, badge, email on the right | List (scrolls after about 520 px) | Selects the person and fills the cards on the right | People with the Owner switch on first, then the most recently updated. On opening, the most recently updated person is selected, which may not be the top row. Switched-off people are listed too, with no marker; removed people are not listed at all. The name is the stored display name, else the username, else the email |
| Owner badge (blue) | On a row | The person is an owner: Owner switch on, or the owner role (like the person who created the store) | — |
| Manager badge (violet) | On a row | The person has the Manager role | Shown to owners. If roles can't be read, no Manager badges show and the Role picker is hidden |
Section: User Profile
Shown for the selected person. Hidden when nobody is selected, for example right after a delete.
Fields:
| Field | Required | Default | Rules and error text |
|---|---|---|---|
| First Name | No | Saved value | After a reload, the Users list keeps showing the stored display name or username, not this |
| Last Name | No | Saved value | Same as First Name |
| Username (Auto-generated) | — | Saved value | Always greyed out |
| Yes | Saved value | "Please enter a valid email address." This is the address they sign in with: a change is applied on Save, keeps their password, and moves where their reset links go. An address that already has an UpChannels login is refused, the box goes back to the address they still sign in with, and the rest of the Save — the profile, a new password, the Owner and Active switches — still goes through | |
| Mobile Phone (US), placeholder "(555) 123-4567" | No | Saved value | Formats as you type, saved as 10 digits. "Mobile phone must be a valid 10-digit US number." |
| Business Phone (US), placeholder "(555) 987-6543" | No | Saved value | "Business phone must be a valid 10-digit US number." |
| Default Location (map pin), placeholder "Select default location" | No | No default location | Options: No default location plus each active location. Helper: "This location will be pre-selected when creating orders". Also their home store in Workforce. Only an owner can change it: "Pay rates, store access and employment details can only be changed by the organization owner" |
| New Password, placeholder "Set a new password" ("At least 8 characters" under it) | No | Empty | Owner switch only. At least 8 characters and no more than 72: "Choose a password of at least 8 characters." / "Choose a password of no more than 72 characters." Applied on Save, with no email to the person. The profile saves first: if the password step then fails, you see why in red, the profile changes are kept, and the rest of the Save — a changed Email, Owner or Active — still goes through, named in the green message beside it |
| Confirm Password, placeholder "Confirm new password" | When New Password has text | Empty | "Password confirmation does not match." |
Switches and buttons:
| Control | Where | What it does | Notes |
|---|---|---|---|
| Active (switch) | Bottom row | Switches the person's login on or off, applied by Save | Off signs them out on every device and stops them signing in; on lets them sign in again with their password. Shown to everyone Team lets in. Greyed for yourself (tooltip "You cannot switch off your own login"). Saving the change needs owner level: for the store's only active member a Save on anyone else's row is refused before anything is written, with a technical database message in a red box. Works for another owner too, including an owner by role only, while one active owner remains: the store's last active owner is refused. A refusal keeps the rest of the Save, and the switch goes back to what is saved. Switched-off people drop off Workforce's roster and the Schedule technician list and still use a seat |
| Owner (switch) | Bottom row | On opens Grant Owner Privileges. Off on your own row asks Turn off your own Owner switch? first. Applies on Save, through its own check | Greyed for the store's last owner with "This is the store's last owner. Make someone else an owner first" — somebody who also has the owner role is not the last one, because the role keeps them an owner. The Save reports it: "… is now an owner." or "… is no longer an owner. It reaches them at their next sign-in, or within an hour." A refusal keeps the rest of the Save, a changed Active switch included, and the switch goes back to what is saved: "Profile saved, but the Owner switch was not turned off: …" |
| Role (drop-down: Owner, Manager, Staff) | Bottom row | Manager opens the Make … a manager? confirmation. Staff applies at once with a toast. Owner is listed but greyed | Shown to owners only. Greyed for yourself (tooltip "You cannot change your own role"), for an owner (tooltip "Owners have every permission; their role is fixed"), and while a change saves (spinner beside it). Reads the saved state, so Save an Owner switch change first |
| Delete (bin icon, red) | Bottom right | Opens Delete User | Shown to everyone Team lets in. Greyed while saving, while the Owner switch is on (tooltip "Cannot delete an owner") and for yourself (tooltip "You cannot delete yourself"). Follows the switch, so turning Owner off, even unsaved, enables it. The delete itself needs owner level: for the store's only active member the confirmation answers "Only the organization owner can do this". Delete does not save anything else you changed on the person first — it removes them as they were saved |
| Amber hint | Under Delete and Save | "This is the only owner of the organization and cannot be deleted." or "Owners cannot be deleted. Turn off the owner switch first to delete this user." | While the Owner switch is on |
| Save (spinner while saving) | Bottom right | Checks the fields, saves User Profile and Worker Details together, then in turn sets the new password if one was typed, changes the sign-in Email, moves the Owner switch and switches the login off or on if Active changed | Greyed while saving. Shows "User profile saved.", or "Password updated successfully." when a password was set. The message then adds each change that went through: "… now signs in with ….", "… is switched off and signed out on every device." or "… can sign in again.", "… is now an owner." or "… is no longer an owner. …". A step that is refused does not stop the ones after it: each refusal is named in the red box, in the order tried, and what it would have changed goes back to what is saved |
Section: User Visibility Settings
| Control | Where | What it does | Notes |
|---|---|---|---|
| Card title User Visibility Settings | Under User Profile | — | Shown even with nobody selected; the switches are then locked |
| Reset to Default Menu (outline) | Card header, right | Opens Reset Navigation Menu | Owner switch only |
| Blue notice: "Owners always have access to all menu items, so visibility settings are disabled for this user." | Top of the card | Explains the locked switches | While the selected person's Owner switch is on. Owners are never restricted, so anything hidden for them earlier no longer applies |
| Section tabs | Card body | One tab per sidebar group, in sidebar order: Get Started, Sales, Catalog, Inventory, Growth, Team, Finance, Reports | The menu your staff's sidebar shows. Sections and items that are switched off are left out, as the sidebar leaves them out. Items appear whatever your plan or feature switches |
| Item row: item name, with its page address under it (e.g. "/orders") | Inside a tab | Identifies the menu item | — |
| Visible (switch) | Right of each item | Shows or hides the item for the selected person. Saves at once | On unless you turned it off. Greyed when the person's Owner switch is on, for the Shortcuts item, while saving and with nobody selected. Off removes the item from their sidebar, removes any Shortcuts cards that open its pages (several items have none), and blocks its page, the pages under it and the pages that belong to it with "403 - Forbidden", from the next page they open (within a minute). For someone with the owner role but the Owner switch off, the switch saves but has no effect: owners are never restricted. Saving needs owner level, so for the store's only active member the switch moves and then the save is refused. Nothing is blocked while the store has only one active member |
| Note: "Shortcuts page will match the visibility settings on this page for this user." | Under the Shortcuts item | Explains why its switch is locked | Only if your menu lists a Shortcuts item, and the selected person's Owner switch is off |
| Auto-saved (save icon) | End of each item row | Nothing. It is a label saying switches save by themselves | Never clickable |
Section: Worker Details
Owner switch only, with a person selected. Hidden for owners by role alone.
Fields:
| Field | Required | Default | Rules and error text |
|---|---|---|---|
| Job Title, placeholder "Technician" | No | Saved value | — |
| Hourly Rate ($), placeholder "e.g. 18.50" | No | Blank | 0 or more. Helper: "Blank = no hourly rate (salaried or owner); never on a pay run." Negative: "Pay rates must be 0 or more, or left blank." Greyed, with "Pay rates could not be loaded. Reload the page to edit them.", when the rate couldn't be read. Only an owner can change it |
| Overtime Rate ($), placeholder "1.5 × hourly" | No | Blank | Helper: "Optional. Blank = 1.5 × the hourly rate." Same rules as Hourly Rate |
| Employee code (for payroll export), placeholder "e.g. 1042" | No | Blank | Written into the pay run CSV. Only an owner can change it |
| Field Worker (switch), with "(Can receive jobs)" or "(Office)" | — | Off | Only active field workers can be assigned jobs on Schedule |
Skills (comma separated), placeholder HVAC, Plumbing, "Air Conditioning, Heating", Electrical | No | Saved value | Helper: 'Use quotes for skills with commas, e.g., "Air Conditioning, Heating"'. Duplicates are dropped |
Service Areas (comma separated), placeholder "Downtown, Main St", Suburbs, "Industrial, Zone A" | No | Saved value | Helper: "Areas this worker covers for job assignments" |
Buttons:
| Control | Where | What it does | Notes |
|---|---|---|---|
| Save Worker Details | Card footer | The same as Save: saves User Profile and Worker Details together, plus a typed password | Greyed while saving |
Section: Other permission rules for staff accounts
A card of its own below Users Profile and Settings, shown to everyone Team opens for. The two switches belong to the whole store and bind the Staff role only: owners (the Owner switch or the owner role), managers and UpChannels support are never affected.
| Control | Where | What it does | Notes |
|---|---|---|---|
| Title Other permission rules for staff accounts (shield icon), "These rules apply to the Staff role only. Owners and managers always see cost and can change prices." | Card header | — | — |
| "Loading…" (spinner) | Card body | Shown while the rules load | If they can't be read: "Could not load these rules. Reload the page to try again.", and no switches show |
| Hide cost info from all staff accounts (switch) | First row | Hides cost, margin, profit and stock value from the Staff role, and leaves creating purchase orders to owners and managers | On by default, in every store, new and existing. Helper: "Staff will not see cost, margin, profit or stock value anywhere: orders, purchase orders, inventory, catalog, reports, finance, exports and prints. While this is on, an owner or manager creates purchase orders." What it covers: the next panel |
| Allow staff to edit prices on price tags (switch) | Second row | Lets the Staff role change selling prices on Price Tags and in a product's window | Off by default. Helper: "Lets staff change selling prices on Price Tags and in a product's window. This changes the product's price in your catalog, not only the printed tag. Every change is logged." |
| Spinner beside a switch | Row, right | That switch is saving | Both switches are greyed until it finishes |
| "Saved" | Under the rows | The change is saved | Each change is also kept in the store's audit log with who made it and when |
| Red line | Under the rows | The save was refused, and the switch goes back to what is saved | "Only the store owner can change these rules.", "Support view is read-only." or "Could not save. Try again." |
- No Save button: each switch saves on its own, and the profile's Save never touches them.
- Who can flip them: the person whose Owner switch is on, anyone with the owner role and the store's only active member (unlike the menu Visible switches, these do save for the last). Managers and staff can't open Settings, so they never see the card. In UpChannels support's read-only view the switches show the store's setting, greyed.
- When a change reaches staff: their screens ask again when they open a page and the last answer is more than a few seconds old, or when they come back to the tab after a minute. A reload asks at once. Creating a purchase order, changing a price and undoing a price batch are checked again when they are saved, so a screen opened before the change can't do what the switches now forbid.
- It is enforced by UpChannels' database, not only by the screens: a staff account's own login cannot read cost, margin, stock value, a purchase order's or a transfer's prices, a count report's values at cost, or the cost-of-goods, inventory and purchase-fee lines of the books, through any page or tool. A sale's or a return's revenue, returns and tax stay readable. While the rule is on, staff also cannot change a cost (a product's, a vendor's, a variant's or a job's); a new product may still be created with one. When a staff member sells, each line is booked at the product's own cost, never at a figure their screen sent. Every cost a staff member is allowed to see (once the owner switches the rule off) and every cost an owner or manager sees comes from the same place, so turning the rule on or off changes what they can read at once.
- Receiving a purchase order books each line at the price the order records for it, whoever receives it, so a receipt can't change what stock cost.
Staff rules: what is hidden and what is locked
With Hide cost info from all staff accounts on, a Staff-role person sees:
| Where | What changes for staff |
|---|---|
| Any cost figure | Hidden with an eye-off icon in its place; hovering says "Your store owner hides cost information from staff accounts." Table columns that hold only cost are left out, and cards and charts that are only about cost are left out. Selling prices and MSRP stay visible |
| Finance → Profit & Loss, Balance Sheet, Assets & Liabilities | "Cost information is hidden" instead of the report, with no export or print |
| Inventory, and its Search, Transfer and Count reports | Inventory cost, average and last cost, and stock value at cost are hidden, the count report's CSV and print included |
| Catalog and the product window | Cost, margin and markup are hidden, and the products CSV export leaves them out. When a staff member edits a product, or a catalog import merges into one the store already has, the cost they can't see is left as it was; the import's summary says so ("The cost of 1 existing product was not changed. …") |
| Purchase orders | Prices and totals are hidden, on screen and on the printed purchase order, and so are the receiving window's "$ each" and total value and Replenish's unit cost. Staff can still open an order, read its vendor, items, quantities and status, and receive it |
| Creating a purchase order | Staff can't create or import one, or create one from Replenish: "Your store owner hides costs from staff, so an owner or manager creates purchase orders." The New Order and Import tabs are left off their Procurement tab bar. In a store with no purchase order yet, the note reads "Orders and Receive unlock once an owner or manager creates the first purchase order." |
| Reports | Inventory value and aged-stock value, gross margin in the Lost Sales report, and service job cost are hidden |
| Dashboard | The gross margin, COGS, net profit and inventory value cards are hidden |
| Quick Facts | The dollar tiles for what was purchased and received, stock value, purchase-order dollars outstanding and aged stock dollars are hidden |
| The register | The "Cost" line shown when a serial-numbered unit is picked is hidden |
With it off, staff see cost as they did before the switch existed, except that Price Tags never shows staff its Cost and Margin columns and the Quick Facts profit tiles stay owner and manager only. Those two rules don't change with the switch.
Allow staff to edit prices on price tags, for the Staff role:
| Where | Off (the default) | On |
|---|---|---|
| Price Tags, Step 2 Set Prices | "Only an owner or manager can change prices. Your store owner can let staff change prices in Settings → Team. You can still print tags for items that have a price." and on to the design | Works as for a manager, without cost: no Cost + markup % or Price for a margin % action, and no Cost, Margin or Below cost |
| The product window, and a unit's price | The price field is read-only, with the same reason | Editable |
| Catalog import | Adds new products with their prices, but leaves the price of a product the store already has as it was, and says so in its summary: "The price of 1 existing product was not changed. Only an owner or manager can change prices. …" | Prices change as for an owner or manager |
| Undo this batch on Price Tags | — | For 24 hours. A staff member sees and undoes only the batches they saved; an owner or manager can undo any. Another's batch is refused with "Staff can undo only the price changes they made. Ask an owner or manager to undo this one." |
- Every price change is logged with who made it. Owners and managers can always change prices, whatever the switch says, and anyone can print tags for an item that has a price.
- While a page is still finding out who is looking, cost shows as "—". If the rules can't be read when a page first loads, that page treats cost as hidden and prices as locked, for anyone, until the next successful read (a reload or the next page). If a later read fails, the page keeps the answer it already had. A save that needs the rules when they can't be read is refused with "Could not check what your store lets you change, so nothing was saved. Try again."
- A store's only active member is treated as its owner here, as Team itself treats them, so the defaults never hide cost from or lock prices for a one-person store. UpChannels support always sees cost and can change prices.
Dialog: Create User
Opened by Create User when a seat is free.
Fields:
| Field | Required | Default | Rules and error text |
|---|---|---|---|
| First Name | Yes | Empty | Create stays greyed until filled. "First name is required." |
| Last Name | Yes | Empty | Same. "Last name is required." |
| Username (Auto-generated), placeholder "Will be generated from email..." | — | — | Greyed. The first 5 characters of the email (before the @, in lower case) plus 10 random digits, remade on every keystroke in Email |
| Yes | Empty | The address they sign in with. "Please enter a valid email address." An address that already belongs to someone you removed from this team brings that person back instead of creating a second login; one that belongs to anybody else is refused | |
| Password ("At least 8 characters" under it) | Yes | Empty | You choose it. At least 8 characters and no more than 72, the same rule as signing up and resetting: "Choose a password of at least 8 characters." / "Choose a password of no more than 72 characters." |
| Confirm Password | Yes | Empty | Must match. Create stays greyed until it does |
| Active (switch) | — | On | Off creates the person switched off: they can't sign in until you switch Active on and Save, and they aren't on Workforce's roster or Schedule's technician list. They still use a seat |
| Owner (switch) | — | Off | On creates a co-owner: they can open Settings, Team and billing from their first sign-in. Only an owner can create one |
| Default Location (map pin), placeholder "Select default location" | No | No default location | Helper: "This location will be pre-selected when this user creates orders" |
| Heading Worker Information (Optional) (wrench) | — | — | Groups the fields below |
| Job Title, placeholder "Technician" | No | Empty | — |
| Mobile Phone, placeholder "(555) 123-4567" | No | Empty | Formats as you type. No 10-digit check here |
| Hourly Rate ($), placeholder "e.g. 18.50" | No | Blank | Helper: "Blank = no hourly rate (salaried or owner)." Negative: "Pay rates must be 0 or more, or left blank." No overtime rate or employee code here — for somebody you are bringing back, both are cleared, and you set them again on their Worker Details card |
Skills (comma separated), placeholder HVAC, Plumbing, "Air Conditioning, Heating" | No | Empty | — |
Service Areas (comma separated), placeholder "Downtown, Main St", Suburbs | No | Empty | — |
| Field Worker (switch), "(Can receive job assignments)" | — | Off | — |
Buttons:
| Control | Where | What it does | Notes |
|---|---|---|---|
| Cancel | Footer | Closes the dialog. What you typed stays until the page reloads | Greyed while creating. Esc or a click outside does the same |
| Create (spinner while creating) | Footer | Creates the login at once (email already confirmed, your password), adds the person, selects them and shows "User created successfully." — or, for somebody you had removed, brings them back with "… was added back to your team." | Greyed until every starred field is filled, the email could be an email and the passwords match. No email is sent. A refusal shows in a red box inside the dialog, which stays open with what you typed. If the server finds no free seat, the dialog closes and License Limit Reached opens with the server's numbers |
Dialog: Grant Owner Privileges
Opens when you turn on an Owner switch (in User Profile or in Create User).
| Control | Where | What it does | Notes |
|---|---|---|---|
| Title Grant Owner Privileges (amber warning triangle) | Header | — | — |
| "You are about to grant Owner privileges to this user. Owners have the highest level of access and can:" then "Manage billing and subscriptions", "Add, edit, and remove all users", "Grant or revoke Owner privileges for other users", "Access and modify all organization settings", "View and manage all locations and data" | Body | Explains owner powers | — |
| "Warning: This action should only be performed for trusted people who need full control over the organization." | Amber box | — | — |
| Cancel | Footer | Leaves the switch off | Esc or a click outside does the same |
| Yes, Grant Owner Access (amber) | Footer | Turns the switch on in the form. Nothing is saved yet: click Save in User Profile | In Create User it is saved when you click Create, and the person is created as an owner |
Dialog: Make … a manager?
Opens when you pick Manager in Role. The title uses the person's name, else their email, else "this person".
| Control | Where | What it does | Notes |
|---|---|---|---|
| "Managers can approve hours and, elsewhere in UpChannels, delete orders and records. Takes effect in Workforce right away; elsewhere within an hour or at their next sign-in." | Body | Explains the role | — |
| Amber warning: "They have no Default Location. Unless they have other store access or "See people at all stores" is on in Workforce settings, they will only see people and entries without a store." | Body | Warns about their Workforce reach | Only when the store has more than one active location and the person has no saved Default Location |
| Cancel | Footer | Closes. The role stays as it was | Greyed while saving. The dialog can't be closed mid-save |
| Make Manager (spinner) | Footer | Gives the Manager role at once (no Save needed), shows "… is now a manager" and records the change | Works on every plan, whether or not Workforce is on. If it fails, a red toast gives the reason and the dialog stays open with it in red ("… They are still staff; try again or cancel."), so click Make Manager again or Cancel |
Dialog: Reset Navigation Menu
| Control | Where | What it does | Notes |
|---|---|---|---|
| Title Reset Navigation Menu (amber refresh icon) | Header | — | Opened by Reset to Default Menu |
| "This will reset the organization navigation menu to its default configuration." and "Warning: Every hidden menu item is un-hidden, for everyone in the store, including on the standard menu. The pages behind them open again. This action cannot be undone." | Body | — | — |
| Cancel | Footer | Closes | Greyed while resetting |
| Yes, Reset Navigation (amber, spinner) | Footer | Puts your store on the standard menu, clears every hidden-item choice in the store, reloads the card and says how much went: "Menu reset to default. Hidden items cleared for … menu items across your team." | The number counts the items that were really hidden, so a store where somebody hid an item and switched it back on again reads "Menu reset to default. Nothing was hidden for anyone." If the choices can't be cleared it says so instead of claiming success. Errors: "No organization found", "Failed to reset navigation" |
Dialog: Delete User
| Control | Where | What it does | Notes |
|---|---|---|---|
| Title Delete User (red bin icon) | Header | — | Opened by Delete |
| "Are you sure you want to delete this user?" and "Note: They are signed out on every device, can no longer sign in, and leave this list for good — the Active switch will not bring them back. Their seat is freed. Orders, stock and other store records are not affected. To have them back later, use Create User with the same email address." | Body | — | — |
| Cancel | Footer | Closes | Greyed while deleting |
| Yes, Delete User (red, spinner) | Footer | Removes the person: their login is switched off (signed out on every device, can't sign in), their profile is marked removed and their seat is freed. Takes them off the list and clears the selection. Shows "… was removed from your team and signed out on every device. Their seat is free." | They stay off the list after a reload, and the Active switch cannot bring them back. Create User with the same email address does. Refused for an owner: "Cannot delete an owner. Please turn off the owner switch first and try again.", for yourself: "You cannot delete yourself.", for the store's last active owner, and for anyone below owner level: "Only the organization owner can do this" |
Dialog: License Limit Reached
Opened by Create User when no seat is free, or after the server refuses a new person. During a free trial, or with no plan at all, it is worded for subscribing instead of for buying a seat.
| Control | Where | What it does | Notes |
|---|---|---|---|
| Title License Limit Reached (amber warning triangle), "You've reached your user license limit." | Header | — | During a free trial: Subscribe to add more people with "Your free trial covers 2 users. Choose a plan to add more." — the number is what your trial actually covers, so a store with three locations reads "6 users". On a plan UpChannels set up for you: Ask UpChannels to add more people with "Your plan is looked after by UpChannels and covers … users." and "Contact UpChannels support and we will raise it for you. There is nothing to buy here." With no trial and no plan the dialog is not reached at all — nothing is capping you, and Create goes straight through. If your plan could not be read: We couldn't check your plan with "Your plan couldn't be read just now, so we can't tell whether you can add more people.", and no usage figures |
| Users Used … / … with an amber bar | Body | Seats used and seats you have | The server's numbers when the server refused. Left out when your plan could not be read |
| How licenses work: "Main Plan: Each plan covers 1 location with 2 users included", "User Packs: Each add-on pack adds 5 users", "Total Users: (Locations × 2) + (User packs × 5)", "Your Plan: … location(s) × 2 = … base users" | Blue box | Explains the sum | "Your Plan" shows only when you have location licences |
| "To add more team members, you can either add more locations (each includes 2 users) or add a user pack (5 users per pack)." | Body | — | During a free trial, or with no plan: "Every plan covers 1 location with 2 users. Subscribe first, then add locations and user packs from the billing page." |
| Cancel | Footer | Closes | — |
| Go to Billing (card icon) | Footer | Closes and opens the standalone Billing & Subscription page | Reads See plans during a free trial or with no plan. Works the same from the Menu Visibility page and from the Team section inside Settings |
Sub-page: Menu Visibility
The same editor on a page of its own, with every control described above. It opens for the same people as Settings: the store's owner, anyone with the owner role and the store's only active member.
| Control | Where | What it does | Notes |
|---|---|---|---|
| Team Management (people icon + external-link icon) | Sales → Schedule, header right, next to Demo | Opens the Menu Visibility page | Shown to everyone on Schedule. Anyone Settings does not let in is sent to Shortcuts |
| Edit in Team Management | Team → Workforce, Team tab header | Opens the Menu Visibility page | Shown to owners — the Owner switch, or the owner role |
| Sidebar toggle (panel icon, screen-reader label "Toggle Sidebar") | Header, far left | Collapses or expands the sidebar | — |
| Breadcrumb "Settings › Users › Menu Visibility" | Header | "Settings" and "Users" are plain text, not links | On small screens only "Menu Visibility" shows |
| Page body | Below the header | The full Team editor, without the Team Management heading | — |
Messages you may see
| Message | When it appears | What to do |
|---|---|---|
| "Loading..." / "Redirecting..." | Opening Team or Menu Visibility. "Redirecting..." means Settings did not let you in: no Owner switch, no owner role, and other active people in the store | Ask an owner |
| "403 - Forbidden" / "You do not have permission to view this page. Contact your organization owner." | A person opens a page of a menu item hidden for them (its page, a page under it, or one that belongs to it), in a store with more than one active person, from a link in the app, a bookmark or a typed address. Someone whose Active switch has just been turned off, or who has been removed, gets it on every page until their tab signs itself out | The owner turns that item's Visible switch back on, or turns Active back on and clicks Save. It clears within a minute of their next page change, or 15 seconds after they come back to the tab |
| "No organization context for current user" / "Failed to load users/preferences" | The Team card couldn't load | Reload. If it persists, sign in again |
| "Please enter a valid email address." | Save on a member's row with a malformed email | Fix the email. Create User cannot reach this message: Create stays greyed until the address is complete |
| "Mobile phone must be a valid 10-digit US number." / "Business phone must be a valid 10-digit US number." | Save with a partial phone number | Enter 10 digits or clear the field |
| "Password confirmation does not match." | New Password and Confirm Password differ | Retype both |
| "Choose a password of at least 8 characters." | The password typed for somebody else is too short, in Create User or New Password | Type a longer one |
| "Choose a password of no more than 72 characters." | The password typed for somebody else is too long | Shorten it |
| "Pay rates must be 0 or more, or left blank." | A negative hourly or overtime rate | Enter 0 or more, or leave it blank |
| "Pay rates could not be loaded. Reload the page to edit them." | Worker Details, when the rate couldn't be read | Reload the page |
| "Pay rates, store access and employment details can only be changed by the organization owner" | Saving Default Location, rates or employee code without owner rights | An owner saves it |
| "… now signs in with …" | Save with a changed Email | Tell the person their new sign-in address. UpChannels also writes to the address you are leaving, so they hear about it at the mailbox they were watching |
| "Profile saved, but the email they sign in with was not changed to …: …" | The profile saved but the address it names was refused, for example "That address already has an UpChannels login". The Email box shows the address they still sign in with | Type another address and Save again. They keep signing in with the old one |
| "This is the store’s last owner. Make someone else an owner first" | The Owner switch on the store's last owner (greyed, and refused by the server if it is reached another way) | Make somebody else an owner, then take the flag off |
| "Profile saved, but the Owner switch was not turned on: …" / "… not turned off: …" | The profile saved but the Owner switch change was refused. The reason follows | Fix what the reason says and Save again |
| "… is now an owner." / "… is no longer an owner. It reaches them at their next sign-in, or within an hour." | Save with the Owner switch changed | — |
| "Only the organization owner can do this" | An Owner switch change by somebody who is not an owner | An owner does it |
| "User profile saved." | Save worked | — |
| "Password updated successfully." | Save worked and a new password was set | Tell the person their new password. No email goes out |
| "The password was changed, but it could not be recorded in the audit log: …" | Save with a new password, or Create User bringing back somebody you had removed (shown beside "… was added back to your team."): the password changed, but the record of who set it could not be written | The new password works and anybody brought back is back: tell the person. Let UpChannels support know the record is missing |
| "Profile saved, but the password could not be updated." | The profile saved but the password step failed without a reason | Try the password again. A reason from the sign-in system (such as a password that's too short) shows instead when there is one. The rest of the Save still went through: the green message beside it says what |
| "Failed to reset password" | The profile saved, but setting the new password failed on the server | Try the password again. The profile changes, and any Email, Owner or Active change in the same Save, are kept |
| Two or more of these messages in one red box — a password message, "Profile saved, but the email they sign in with was not changed to …: …", "Profile saved, but the Owner switch was not …: …", "Profile saved, but the login was not …: …" | More than one step of one Save was refused. They are named in the order tried: password, Email, Owner, Active. Everything else in the Save went through, and the green message beside it says what | Deal with each as its own line in this table says |
| "Only the owner can reset the password of an owner or a manager" | Someone below owner level set an owner's or manager's password | An owner does it |
| "Only the owner or a manager can add people to the team" / "Only the owner or a manager can set a team member’s password" / "Forbidden" / "User not found" / "No organization for this user" / "Unauthorized" | A password or new person refused by the server | Check you are the owner or a manager and the person is in your store. Sign in again |
| "Failed to save user" | Save failed with no other reason | Reload and retry |
| "… is now a manager" | Make Manager worked | — |
| "… is now staff in Workforce; elsewhere within an hour or at their next sign-in." | Role set to Staff | — |
| "You cannot change your own role" | Role on yourself (tooltip, or from the server) | Another owner does it |
| "Owners have every permission; their role is fixed" (tooltip) / "This person is an owner. An owner's role cannot be changed here." (toast) | Role on an owner | Turn Owner off and Save first |
| "Only the organization owner can do this" | A role change by someone who isn't an owner | An owner does it |
| "That user is not in your organization" / "User not found" / "No organization associated with this account" / "Failed to load that user" / "Failed to load that user's role" / "Failed to change the role" / "Could not change the role (…)" | A role change refused or failed | Reload and retry |
| "User created successfully." | Create worked | Hand the person their email and password |
| "First name is required." / "Last name is required." | Create User checks, shown inside the dialog (normally not reached, because Create stays greyed) | Fill in the field |
| "That email already has an UpChannels login. Use a different address." | Create with an address that belongs to another account | Use a different address. An address belonging to somebody you removed from this team is not refused: it brings them back |
| "Failed to create user (…)" | Create failed for another reason | Read it in the dialog and try again |
| "You've reached your user license limit." | Create User or Create with no free seat | Go to Billing. People you switched off still use a seat; removing someone gives theirs back |
| "Your plan is looked after by UpChannels and covers … users." | Create User with no free seat, on a plan UpChannels set up for you | Contact UpChannels support. There is nothing to buy on the billing page for this kind of plan |
| "You have … more user(s) than your current plan allows. Please purchase an additional main plan or add … pack(s) of 5 users." | Seat panel, over the limit | Upgrade Plan |
| "Cannot delete an owner. Please turn off the owner switch first and try again." | Deleting an owner | Turn Owner off first |
| "You cannot delete yourself." | Deleting your own row | Another owner does it |
| "This is the only owner of the organization and cannot be deleted." / "Owners cannot be deleted. Turn off the owner switch first to delete this user." | An owner is selected | — |
| "… was removed from your team and signed out on every device. Their seat is free." | Yes, Delete User worked | They are gone from the list and their seat is back. Create User with the same email brings them back |
| "… was signed out on every device, but their profile was not removed. Reload and try again." | Yes, Delete User signed the person out but the removal itself did not go through | Reload the page and delete them again |
| "… was added back to your team. They sign in with the password you just set." | Create with the email address of someone you had removed | Give them the new password. They come back with the role you picked in the dialog, with every menu item visible again, and with their worker details as you typed them — anything left blank starts blank, whatever they had before they left |
| The reason the delete was refused, for example "This is the store’s last active owner and cannot be switched off", "User not found" or "Could not change this login" | Yes, Delete User failed | Fix what the reason says, or try again |
| "User profile saved. … is switched off and signed out on every device." | Save with Active turned off | Nothing. They can't sign in until you switch Active back on, and nothing they still have open can read or change anything in the meantime |
| "User profile saved. … can sign in again." | Save with Active turned back on | Tell them to sign in with their usual password |
| "Profile saved, but the login was not switched off: …" / "Profile saved, but the login was not switched back on: …" | The profile saved but the login switch was refused. - The store's only active member can also open Settings and flip the staff-rule switches, and hidden menu items never block their pages. People switched off or removed here don't count, so when everyone else is switched off the one person left is treated this way. Without the Owner switch they don't see the owner-only Team controls, and the ones they do see — Active, Delete and the Visible switches — refuse to save for them.
- No plan gate: Team works on every plan. The Manager role works on every plan, whether or not Workforce is on.
- The only limit that depends on billing is the user seats: locations × 2 + Additional Users packs × 5. During a free trial, 2 per location and no packs; on a plan UpChannels set up for you, the same 2 per location. With no plan, no trial and no arrangement at all, nothing caps you and Create goes through.
- Team has no demo of its own. The Settings demo has a sample Team pane, and its guided tour ends there.
Common questions
How do I invite someone? There are no invitations. Click Create User, set their email and a password, click Create, then give them those details. Anything that goes wrong is shown in the dialog itself, with your typing kept. UpChannels sends them nothing. They sign in on the normal sign-in page and can use Forgot password? there later.
Why can't I add another user? Every seat is used. Each location on your plan includes 2 users and each Additional Users pack adds 5, and everyone in the list counts, including people you switched off. Free one by removing somebody with Delete, or buy a pack or another location in Plan & Billing. During a free trial you get 2 users per location and can't buy packs until you subscribe.
How do I remove someone who has left? Click Delete, then Yes, Delete User. They are signed out on every device, their email and password stop working, they leave the list and their seat is freed. If they might come back, switch Active off and click Save instead: that also signs them out everywhere, but keeps them in the list with their seat, ready to be switched on again.
I removed the wrong person. Can I get them back? Yes. Click Create User and use their old email address: instead of refusing the address, UpChannels brings that person back with the name, password, role and details you fill in. What they had before does not follow them: if they were a manager and you add them back as Staff, they come back as Staff; every menu item is visible for them again; and their old hourly rate, payroll code, job title, skills, service areas and store access are gone, so type in again anything they should have. Their timesheets, orders and the rest of their history stay. They use a seat again, so one has to be free.
Who is my store's owner? The first person a store has is always its owner, whether the store signed up here or UpChannels set it up for you. After that, an owner decides who else is one: the Owner switch on a person's card, or the owner role. A manager cannot make someone an owner, so if the store's only owner has been switched off, contact UpChannels support.
A co-owner has left. How do I remove them? Select them, switch Active off and click Save. You don't need to turn their Owner switch off first, and it works for someone who is an owner only by role, like the person who created the store. The one refusal is the store's last active owner, and while you are an active owner yourself that is never them.
How quickly does switching someone off take effect? Straight away, everywhere. New sign-ins are refused with "This login has been switched off. Ask your store owner to turn it back on." A tab they already have open goes to the sign-in screen the next time they open a page or come back to the tab (checked at most every 30 seconds), and within 5 minutes otherwise. And from the moment you save, your records answer nothing in that person's name: their store, their role and their UpChannels access are all worked out from the list on this page each time, not from the key their tab was holding. The key itself also expires within an hour and can't be renewed.
Can I switch someone back on? Yes, as long as you switched them off rather than removing them. Select them, switch Active on and click Save, and they sign in again with the same email and password. Someone removed with Delete isn't in the list: use Create User with their old email address.
What's the difference between the Owner switch and the Manager role? The Owner switch gives full control: Settings, Team, billing and every owner-only switch. It applies when you click Save. Manager (the Role picker) lets someone approve hours in Workforce and delete orders and records elsewhere, but not open Settings. It applies at once. See Workforce for what managers can do there.
I hid a menu item, but the person can still open the page. Why? Hiding blocks the item's page, every page under it and the pages that belong to it (Count Inventory, Transfer Inventory and search belong to Management). If a page still opens, check: the change reaches them within a minute of their next page change, or 15 seconds after they come back to the tab; a few pages always open (Shortcuts, search results, Plan & Billing, the tabbed Get Started page and demos); and owners and a store's only active member are never restricted.
Does an owner ever have hidden menu items? No. Owners always see the whole menu and every page, and anything hidden for them before they became an owner no longer applies.
How do I un-hide everything at once? Reset to Default Menu, then Yes, Reset Navigation. It clears every hidden-item choice in the store — on the standard menu too — and the message says how many went. It cannot be undone.
Can a team member undo what I hid? No. Menu Visibility saves only for owner level — the Owner switch, or the owner role — and a hidden item never reaches the person's own Settings anyway.
Can one staff member see cost while the others don't? No. The two switches in Other permission rules for staff accounts cover everyone with the Staff role in the store. Owners and managers always see cost and can change prices, so to let one person see cost, make them a manager — which also lets them approve hours and delete orders and records.
Where do I set pay rates for Workforce? In Worker Details: Hourly Rate ($), Overtime Rate ($) and Employee code (for payroll export), then Save Worker Details. Only the person with the Owner switch sees that card. How the rates are used: Workforce.
I turned off my own Owner switch. How do I get it back?
Another owner turns it back on for you — and there is always one, because the switch is greyed for the store's last owner and the change is refused even if it is sent another way. If you created the store you may still have an owner role, which lets you open Settings by adding /settings?tab=team to your UpChannels address and turn the switch on again. Failing that, contact UpChannels support.
Can I create a co-owner directly? Yes. Turn on Owner in the Create User dialog and confirm Yes, Grant Owner Access. The person is created as an owner and can open Settings, Team and billing from their first sign-in. Only an owner can do this: a manager creating someone always creates a non-owner.
