Quick Facts

Quick Facts answers two questions the moment you sign in: how is this week going, and what should I do today? It sits at the top of Shortcuts, the page you land on, and has a page of its own under Get Started → Quick Facts in the sidebar, where it is shown full width with an explanation of every number.

Overview

Quick Facts has two cards side by side (stacked on a phone or a narrow window):

CardWhat it shows
This Week / This MonthTiles grouped in rows: Sales, Operations, Finance, Schedule & Delivery, Team and Customers. Each tile has a figure, a ▲/▼ against the same stretch of the last week or month, one line of detail, and a definition when you hover over it. Click a tile to open the page the figure comes from
To DoThe things that need you, most urgent first: unpaid balances, refunds owed, customers waiting, deliveries to book, service work, low stock, purchase orders to receive and more. Each row has at most two buttons that take you straight to the work. When nothing is due it says "Nothing needs you today ✓"
  • Only what your store uses. A row appears only when your store uses that part of UpChannels, so a store with no deliveries sees no Deliveries tile, and a store that doesn't use the time clock sees no Team row. There are at most 16 tiles; a small store usually sees about ten.
  • Only what you may see. Profit figures are for owners and managers on the Pro plan or above. The Team row needs Premium and the right Workforce permissions. A tile whose page is hidden from your menu is left out. Where your plan is what stands in the way, owners and managers see one line naming the plan instead, with an Upgrade link.
  • Your store's clock. Every "this week" and "today" is your store's, set by the Business Timezone in Settings → Organization, wherever you are.
  • Week or month, Monday or Sunday. The Week | Month and Mon | Sun switches change the period. Your browser remembers both for you.
  • One location or all. A store with more than one active store location gets a location picker. It starts on All locations.
  • Your daily brief, at the bottom. For the people who receive the daily brief, this morning's brief sits on this page, open, under How these numbers are calculated. Fold folds it to one line ("Your brief · Thu 17 Sep · as of 07:05 store time · … · Open ›"), and it stays folded on your next visits in this browser until you click Open ›. Nobody else sees it, it is not in the panel on Shortcuts, and with the brief off the page is exactly as described here.

Reading a tile

  • ▲ / ▼ compares this period so far with the same stretch of the last one, up to the same day and time of day. A month stops at the end of last month.
  • Green means the move helped, red means it hurt. So Returns, Expenses and Labour % going up is red. Net profit follows the Profit & Loss: a smaller loss is a green ▲.
  • "–" means there is nothing to compare with (nothing last period, or the first day of the period for the day tiles below).
  • "pts" on Labour % and Walk-in conversion is the change in percentage points.
  • "now" on Stock value: it is a balance at this moment, so it has no comparison.
  • Service jobs, Hours worked, Labour % and Walk-in conversion count whole store days through today, but compare only the days that are over, through yesterday.
  • All locations on a tile means the tile cannot follow the location you picked (journals, expenses and customers have no location), so it shows the whole store.

  • Rows are sorted most urgent first, then in the order above.
  • A row that ignores the location picker (its page has no location filter) says All locations when you pick one.

Step by step: check your week

  1. Sign in. Quick Facts is at the top of Shortcuts. If you folded it away last time, click Show.
  2. Read the This Week row by row. Hover over a tile to see what it counts. Click it to open the page behind it.
  3. Switch to Month for the month so far, or to Sun if your week starts on Sunday.
  4. Work down the To Do list from the top. Each button opens the exact list or record to fix.
  5. Click ⟳ to fetch fresh figures. Otherwise they refresh every five minutes as you come back to the page.
  6. If you receive the daily brief, scroll to the bottom of Get Started → Quick Facts: this morning's brief is there, starting Your brief. If you folded it, click Open ›.

Tips & best practices

  • Set your Business Timezone (Settings → Organization) so "today" and "this week" match your store's clock.
  • Record how the customer heard about you on the order form. With no sources recorded, the Top customer sources strip shows a reminder instead of bars.
  • Set minimum levels on your products to get low-stock to-dos. Until you do, owners and managers see "Set minimum levels to get low-stock alerts" under the list.
  • Money in can be more than Sales: deposits on sales not yet completed count as money in the day they are paid.
  • Open Get Started → Quick Facts and expand How these numbers are calculated for the exact rule behind every tile and row.

Troubleshooting

IssueFix
A tile or row I expect is missingThe row appears only when your store uses that feature (for example the Team row needs the time clock in use), and a tile whose page is hidden from your menu is left out. Profit figures need the Pro plan and an owner or manager
"Gross profit comes with Pro · Upgrade"Your plan is Basic. Gross profit, Net profit and Expenses come with Pro. Click Upgrade to see the plans
"Hours worked and labour % come with Premium · Upgrade"Shown to the owner on Basic or Pro. The Team row comes with Premium
"Couldn't load …" on a row or in the To-DoOne part of Quick Facts could not be read this time; the rest is fine. The message names the tile (or the row, when nothing in it loaded). Click ⟳ to try again
"Couldn't load Quick Facts." with Try againNothing could be read. Check your connection and click Try again
An amber note about the time zoneYour store has no Business Timezone set, so days are counted in UTC. Set it in Settings → Organization
The ▲/▼ on Net profit differs a little from the Profit & LossThe Profit & Loss "like-for-like" runs to the end of the same day last month; Quick Facts compares with the same moment
Last week's figures went up after the week endedA sale counts on the day it became a sale, so one started last week and completed today joins last week
No location pickerIt shows only when your store has more than one active store location

Common questions

Why is Sales different from the Dashboard's Revenue? Sales is the value of the sales completed in the period, tax included, less anything returned on them, whether or not they are paid. The line under it, "money in", is the money that actually came in less refunds — that one matches the Dashboard's Revenue and the Sales Report's Total Revenue.

How does a return show up here? Two ways, on two dates. Sales and Items sold take the returned value and units off the sale, on the day of the sale. Returns shows the money handed back, on the day it went back. So a return made this week on last month's sale lowers last month's Sales, and raises this week's Returns.

Why don't I see Gross profit? It is for owners and managers on the Pro plan or above. On Basic, owners and managers see "Gross profit comes with Pro" instead; staff see nothing.

Why is the Team row missing? It needs Premium (or a free trial) with Workforce switched on, a store that uses the time clock this period or last, and permission to see timesheets.

Why does a tile say All locations when I picked a location? Some figures have no location: journals and expenses behind the profit tiles, and customer records. Those tiles show the whole store.

Why does the first day of the week show "–" on Hours worked? The day tiles compare whole days that are over. On the first day of a period there are none yet.

How fresh are the figures? They are read when you open the page and kept for five minutes. Click ⟳ for fresh ones.

Is there a demo of Quick Facts? No. The pages its tiles open often have one. See Demo mode.
